Maybe you sent an impulsively malicious email to someone. Or maybe you sent a work message and just forgot to attach a document your co-workers needed.
If you want a way to take it back, you’re in luck – if you use Outlook, it is. This is because Microsoft’s e-mail program has a built-in solution for situations like this: Ability to retrieve e-mail. Email recovery can prevent the recipient from seeing the incomplete, angry, or otherwise bad email you sent. Follow the instructions below to recover your email in Outlook. Note: These instructions do not work with the web-based version of Outlook – they only apply to the desktop client. In addition, they only work if you and the recipient are using Microsoft Exchange or Microsoft 365 the same organization. Returns in Outlook do not work with e-mail addresses of recipients outside the sender’s organization.
How to Recover Outlook Emails
Phase 1: Open yours Sent folder and find the email address you’re looking for – it should be at the top of the list. You will need to double-click this email to open it completely before proceeding to the next step.
Step 2: Click Message tab to make it active. Go next Move section and click More transfer functions a button marked with a letter and an envelope as shown below.
Step 3: Click Remember this message option from the drop-down list. (If your interface is a simplified version of the tape, follow these steps: Click Message tab, select the three-dot icon, and select Functionsand then select Remember this message.)
Step 4: A pop-up window will appear. Here you have two options: Delete unread copies of this message or Delete unread copies and replace with a new message. You will also see the option for Outlook to notify you if the process succeeds or fails.
Select the option (s) and click ALRIGHT button to continue.
If you delete the message, congratulations! If you want to replace it, go to step 5.
Step 5: If you decide to create a replacement, Outlook opens another screen so you can review the message. When you compose a new e-mail message, Outlook restores your old message and displays a notification (if you selected this option). Just click Send button when you are finished with the scanned message.
Note: Sending a recovery message does not mean that your old email address will be lost. To lose the original message, the recipient may first need to open the call message. Therefore, you should write “HURRY” or something similar in the header of the recovery message so that it opens before the first offensive email. Continue for a longer explanation. Microsoft also states that in some cases the recipient may be notified when the returned messages are deleted from the mailbox. So, keep in mind that even if you return the email, the recipient may still know that a wounded or offensive message has been sent to them, even if they are unable to view it.
Why email recovery doesn’t always work
While it sounds pretty simple, email recovery doesn’t always work the same way you think. At today’s Internet speeds (unless you live in a dead area), an invalid email is probably already waiting in someone’s mailbox, causing several problems. A few different factors interfere with your attempt to recover email. Here are some things that might hinder your business or add to complications.
- Open messages: If the recipient opens your original email, you can’t remember it. The recipient can still receive and read the second recovery message, but the original remains in their Outlook mailbox. That is one reason why you should act fast.
- Redirect to other folders: If the first message activates the filter and Outlook redirects it to a specific folder, the restore will fail. The bounce option only affects emails in your inbox. If the first message is waiting elsewhere, it will not be deleted.
- Public folders: If someone reads your hidden message in a public folder, the search will fail.
- Other email programs: The restore function works with Outlook. If you send an email to someone who use Gmailfor example, recovery does not work.
Again, reminders aren’t scam-resistant, and your business can get frustrated with factors you can’t control. If you find that you’re trying refunds that don’t go through, consider these two other steps:
Solution 1: Write an apologetic email. In addition to making sure your email is sent to the right people, this is probably the simplest solution to the problem. If you happen to accidentally send an email to the wrong recipient or group of recipients and it wasn’t too scandalous, just save time and effort by dedicating your mistake and saying you’re sorry. An honest apology usually goes well and may even build trust in the recipients. Then you can all move on.
Solution 2: Delay your emails so they don’t send right away. If you’re constantly replying to emails, sending private information back and forth, or just prone to slipping, you might want to start delaying your emails. You can easily set this up for all your Outlook e-mails by following these simple steps:
Phase 1: choose File In the upper left corner of Outlook.
Step 2: Scroll down a bit and click Manage rules and notifications.
Step 3: Rules and notices a window will appear. Click here New rule option.
Step 4: Another pop-up window will appear. click this Use rule in messages I send. You will find that this is listed below Start from scratch. Hit Next button to continue.
Step 5: Don’t worry about anything else in the list of conditions and click Next continue. The confirmation screen will then appear. choose Yeah confirm.
Step 6: choose Postpone delivery for a few minutes option. choose Number link. You will see a pop-up window asking you to select the duration you want. Enter the number you want (120 minutes is as far as possible) and then click ALRIGHT button. When you’ve been through everything, click Next.
Step 7: If you have exceptions, select the exception options you want. Then click Next button to continue.
Step 8: Give your rule a name and check Enable this rule check box, if available. Finally, press Finish button.
